Front Desk Officer

 

 

Responsibilities:

-Reception&protocol duties(welcoming and guiding visitors, booking taxis and arranging catering/refreshments for visitors, keeping the calendar for the conference rooms, preparing the rooms for meetings, order stationery)

-Switchboard operators' duties (answering all external and interbal phone calls in a timely manner, greating callers, providing information, transferring calls/or taking messages and fallow up as necessary)

-Maintain a good informationa system

-Photocopy materials as requested; facsimiles; scan documents

-Establish, maintain and update files, records or other documents

-Making travel arrangements

-Sorting of mail, highlighting urgent items; maintaing an update system of outgoingand incoming mail

-Assist office staff with various administrative matters

-Registers all documents antered in the company

-Handles the expedition of company's internal/external correspondence (through Romanian post, couriers)

-Keeps evidence of company's visitors, office keys, and updates the employees' phone number list

 

Requirements:

-Fluency in written and spoken English

-Excellent telephone communication skills and professional manner

-Attention to detail and the ability to work with minimal supervision

-Familiar with MS Word, Excel, PowerPoint, Internet

-Previous secretarial experience

-Excellent team-player, flexible and adaptable
